Three tips for boosting communication between colleagues

Effective communication is essential for a successful and efficient business. However, sometimes communication is not straightforward, particularly for a remote workforce working from home during the coronavirus pandemic. As such, you may find a decrease in your workforce’s efficiency and an increase in misunderstandings and job dissatisfaction. Encouraging effective communication amongst your employees is key for business success, but how can you ensure that this is implemented with so many different personality types on your staff? Here are three tips for boosting communication between colleagues:

1. Encourage conversation in the workplace

With heavy workloads and complicated tasks, many people prefer to dedicate their working hours solely to matters of business. While endless chatter is a time-wasting distraction, it is important that a comfortable atmosphere is built between colleagues. Encourage staff to ask questions if they need help with a task; by doing this, they will not feel stupid or afraid that they are disturbing others, meaning that the task is more likely to be completed to a high standard without mistakes. You could also implement coffee breaks into your workday, during which colleagues can chat about non-work-related subject matter. Not only will this provide a mental break from tasks, but colleagues will get to know each other on a friendlier, more personal level. You could even introduce regular team-building exercises to encourage a sense of trust and unity between you and your colleagues.

2. Use a team collaboration platform

Due to the ongoing coronavirus pandemic and the need to reduce social contact as much as possible, you and your team might have been working remotely from home for an extended period of time. Though you have no doubt settled into a remote working routine, you may still be struggling to implement effective communication between staff members working from different locations. Asking a simple question, for instance, becomes a lengthy process when you are not in the same room. Using a collaboration platform, such as Mattermost, facilitates better communication amongst a remote working team. With features such as file sharing and real-time group chat, you will be able to complete your work together almost as if you were together in the office.

3. Encourage assertive communication

Many difficulties in the workplace arise due to ineffective communication. For example, tasks being completed incorrectly due to the exact requirements not being clearly specified, or one colleague feeling overburdened with deadlines due to workloads not being clearly stated. Not being clear in your communications between colleagues can lead to disagreements and misunderstandings, which can eventually cause an atmosphere of dissatisfaction and anxiety amongst your team. To avoid this, encourage all team members to practice assertiveness in their communications. This means that you clearly state your needs while being respectful of the other person and avoiding aggression. Assertiveness can be hugely beneficial for the workplace, as all staff are treated as equals with their own rights, and issues are resolved calmly and quickly.
